DocumentXchange operates a marketplace through which users can request, contribute, search for, purchase, and access public-record documents and related metadata. This Privacy Policy applies to buyers, contributors, account holders, and visitors using the DocumentXchange mobile application, website, marketplace, and related services.
Scope
This Privacy Policy describes the information DocumentXchange collects, where that information comes from, how it is used, when it may be disclosed, how long it may be retained, and the choices and rights available to users.
This policy does not govern the independent privacy practices of Apple, Google, Stripe, OpenRouter, government records offices, or other third-party services. Those organizations process information under their own privacy policies.
Information We Collect
Account and profile information
We may collect your name, email address, profile image, display name, account identifiers, authentication information, and other information you choose to provide.
Documents and marketplace content
We collect documents, page images, document titles, descriptions, document types, states, counties, parcel numbers, instrument numbers, recording information, searchable metadata, and other information you upload or submit.
Requests, reviews, and communications
We collect document requests, fulfillment submissions, reviews, ratings, reports, support messages, complaints, and other communications you send through or about the service.
Transaction and contributor information
We may collect purchase records, transaction identifiers, product identifiers, prices, refund status, royalties, payout history, contributor onboarding status, tax-related status, and limited payment descriptors received from payment providers.
Device and usage information
We may automatically receive IP address, device type, operating system, browser information, app version, session information, request logs, error logs, security events, and information about how features are used.
Camera and photo-library access
If you grant permission, DocumentXchange accesses your camera or photo library so you can photograph or select documents for upload. You can revoke these permissions in your device settings.
Sources of Information
We receive information from:
- You when you create an account or use the service.
- Your device and browser when you access DocumentXchange.
- Apple or Google when you use their authentication services.
- Apple when it processes or verifies an in-app purchase.
- Stripe when it processes supported payments, contributor onboarding, or payouts.
- Service providers that support hosting, storage, databases, security, document processing, and artificial intelligence.
- Other users who submit reviews, reports, requests, or content involving you or your contributions.
- Public sources and government records associated with submitted documents.
How We Use Information
We use information to:
- Create, authenticate, maintain, and secure accounts.
- Provide document search, requests, purchases, downloads, contributor features, royalties, and payouts.
- Process, verify, and maintain transaction records.
- Convert document images into files and searchable content.
- Perform OCR, classification, metadata extraction, duplicate detection, and document-quality analysis.
- Rank, organize, recommend, and improve marketplace content.
- Respond to questions, reports, privacy requests, and support inquiries.
- Send transactional, account, security, support, and policy communications.
- Detect and prevent fraud, abuse, unauthorized access, infringement, and other unlawful activity.
- Enforce our agreements and protect users, DocumentXchange, and others.
- Comply with legal, accounting, tax, regulatory, and law-enforcement obligations.
AI and Document Processing
Uploaded documents and related metadata may be processed using artificial-intelligence services to perform OCR, classification, metadata extraction, duplicate detection, document validation, and image-quality or safety review.
Information may be transmitted to contracted infrastructure and AI providers, including OpenRouter and the model providers to which it routes requests. These providers may process information only as necessary to provide their contracted services, subject to their applicable terms and data-protection obligations.
AI and automated results may be incomplete, inaccurate, or misleading. DocumentXchange may review, correct, reject, or remove automated results. Contributors remain responsible for reviewing every page and ensuring the legality and accuracy of uploaded content.
DocumentXchange does not use uploaded documents to train its own general-purpose artificial-intelligence models.
Payments and Financial Information
Apple processes eligible iOS in-app purchases. Stripe may process supported card payments, contributor verification, onboarding, and payouts.
DocumentXchange does not receive or store complete payment-card numbers. We may receive and retain transaction identifiers, product identifiers, amounts, payment status, refund status, limited card descriptors supplied by Stripe, payout information, and records required for accounting, fraud prevention, tax, dispute, and legal purposes.
Apple and Stripe independently process information under their own privacy policies and contractual terms.
When We Disclose Information
We may disclose information:
- To providers of authentication, hosting, storage, databases, document processing, artificial intelligence, security, payment, payout, analytics, communications, and customer-support services.
- To other users when necessary to display public profiles, listings, reviews, requests, contributor information, or purchased content.
- To Apple, Stripe, financial institutions, and transaction partners to process or verify payments, refunds, royalties, and payouts.
- When you direct us to disclose information or otherwise provide consent.
- To comply with subpoenas, court orders, lawful government requests, tax obligations, and other legal requirements.
- When reasonably necessary to investigate fraud, security incidents, infringement, abuse, or violations of our agreements.
- To protect the rights, property, safety, and security of users, DocumentXchange, service providers, or the public.
- In connection with a financing, merger, acquisition, reorganization, bankruptcy, or transfer of some or all business assets.
Service providers may use information only to deliver contracted services and must provide protections consistent with this policy and applicable law.
DocumentXchange does not sell personal information for money and does not share personal information for cross-context behavioral advertising.
Public Content and Public Records
Published listings, document metadata, contributor display information, reviews, requests, and previews may be visible to other users or the public. Purchased documents may be copied, downloaded, or retained by purchasers.
The fact that information is available from a public or government source does not eliminate its privacy, security, copyright, or safety risks. Contributors must review each page, make legally required redactions, and avoid uploading restricted information.
Once another person has lawfully downloaded or retained content, DocumentXchange may not be able to delete that person’s copy.
Data Retention and Deletion
We retain account information while your account is active and for as long as reasonably necessary to operate, secure, and improve the service.
You can request account deletion directly in the DocumentXchange app by opening Profile and selecting Delete Account. If you cannot access the app, email us from the address associated with your account.
Following deletion, we remove or de-identify account information and user content from active systems, subject to reasonable processing time. Residual copies may remain temporarily in encrypted backups.
We may retain information when required or permitted for completed transactions, payouts, tax and accounting records, fraud prevention, chargebacks, disputes, legal claims, copyright matters, security, audits, and compliance with law.
Your Privacy Rights and Choices
Depending on your location, you may have the right to:
- Know what personal information we collect and use.
- Request access to your personal information.
- Request correction of inaccurate personal information.
- Request deletion of eligible personal information.
- Request a portable copy of certain information.
- Restrict or object to certain processing where applicable.
- Appeal a decision concerning a privacy request where required.
- Withdraw consent for processing based on consent.
You may update profile information in the app, control camera and photo permissions through device settings, sign out, or delete your account through the Profile screen.
To exercise a privacy right, email documentxchangesupport@gmail.com . We may need to verify your identity before completing a request. Authorized agents may be required to provide proof of authority.
DocumentXchange will not unlawfully discriminate against you for exercising an applicable privacy right.
Security and International Processing
We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, loss, and misuse.
No internet transmission, storage service, or security control is completely secure. We cannot guarantee absolute security.
Information may be processed in the United States and other locations where DocumentXchange or its service providers operate. Those locations may have privacy laws different from those in your jurisdiction.
Children
DocumentXchange is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Marketplace contribution, royalty, and payout features are intended only for adults who are legally able to enter a binding agreement.
If you believe a child has provided personal information to DocumentXchange, contact us so we can investigate and take appropriate action.
State Privacy Disclosures
During the preceding 12 months, DocumentXchange may have collected the categories of personal information described in this policy, including identifiers, account information, transaction information, internet or electronic activity, uploaded content, approximate location derived from IP address, and inferences generated through document and marketplace processing.
We collect and use these categories for the business and commercial purposes described in the “How We Use Information” section. We may disclose these categories to the service providers and other recipients described in the “When We Disclose Information” section.
DocumentXchange does not knowingly sell personal information or share personal information for cross-context behavioral advertising. We do not knowingly sell or share the personal information of consumers under 16.
Residents of states with applicable privacy laws may submit access, correction, deletion, portability, restriction, or appeal requests using the contact information below.
Changes to This Privacy Policy
We may update this Privacy Policy when the service, our practices, or applicable laws change. The current version will be posted on this page with its effective date.
We will provide additional notice of material changes when required by law. Your continued use of DocumentXchange after an updated policy becomes effective is subject to the revised policy.
